  • Communication history with our onboarding and management system

From End Customers (People Contacting Our Contractors)

  • Contact information: name, phone number, email address, property address
  • Project details: project type, size, budget, timeline, HOA requirements
  • Conversation history with our AI assistant

Automatically Collected

  • Device and browser information when visiting our website
  • IP address and general location data
  • Usage analytics (pages visited, features used)

3. How We Use Information

  • To provide our AI assistant service: responding to customer inquiries, qualifying leads, generating estimates, and scheduling site visits
  • To manage contractor accounts and billing
  • To improve our AI models and service quality
  • To send service-related communications (account updates, system notifications)
  • To detect and prevent fraud or abuse

4. SMS and Messaging

Our service communicates with end customers via SMS on behalf of our contractor customers. Key details:

  • Consent: End customers initiate contact by texting the contractor's business number. By sending a message, they consent to receiving replies related to their inquiry.
  • Opt-out: End customers can text STOP at any time to stop receiving messages. We honor all opt-out requests immediately.
  • Message frequency: Message frequency varies based on the conversation. We do not send unsolicited marketing messages.
  • Message and data rates may apply depending on the end customer's carrier and plan.

5. AI and Automated Processing

Our service uses artificial intelligence (powered by Anthropic's Claude) to:

  • Generate conversational responses to customer inquiries
  • Extract and organize lead information from conversations
  • Score and qualify leads based on project details
  • Generate preliminary cost estimates
  • Draft proposals and contracts for contractor review

All AI-generated estimates, proposals, and contracts are reviewed or approved by the contractor before being shared with end customers. Our AI assistant identifies itself as an AI in its first message to every customer.

6. Information Sharing

We do not sell personal information. We share information only as follows:

  • With contractors: End customer information is shared with the contractor whose business number was contacted
  • Service providers: We use Twilio (SMS), Stripe (payments), Anthropic (AI), and standard hosting providers to operate our service
  • Legal requirements: We may disclose information if required by law, subpoena, or legal process

7. Data Security

We implement industry-standard security measures including:

  • Encryption in transit (TLS) and at rest
  • Tenant-isolated data architecture (each contractor's data is fully separated)
  • JWT-based authentication and API key management
  • Regular security reviews

8. Data Retention

We retain conversation and lead data for the duration of the contractor's active subscription plus 90 days. Contractors can request deletion of their data at any time by contacting us. End customers can request deletion of their personal information by contacting us at support@deskforeman.com.

9. Your Rights

Depending on your jurisdiction, you may have the right to:

  • Access the personal information we hold about you
  • Request correction of inaccurate information
  • Request deletion of your information
  • Opt out of SMS communications at any time by texting STOP
